Privacy Policy

In short: NXT AI helps service businesses answer and book their customers. We collect only what the service needs to work, we use trusted providers to run it, we never sell personal information, and you can ask us to see, correct or delete your information at any time by emailing support@nxtai.ca.
Who we are
NXT AI is a software service based in Ontario, Canada. It captures customer inquiries for service businesses, replies with AI, books appointments and sends follow-ups. This policy explains how we handle personal information under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
This policy covers three groups of people:
- Business clients: the businesses that sign up for NXT AI, and their staff who use it.
- Their customers: people who call, text or fill in a form to contact a business that uses NXT AI.
- Website visitors: people who visit nxtai.ca or send us a demo request.
What we collect

The NXT AI app uses a small sign-in cookie to keep you logged in. It is not used for tracking or advertising.
How we use it
- To run the service: show leads to the business, write and send replies, book and remind appointments, send quotes, invoices and follow-ups, and alert the business owner about new inquiries.
- To bill business clients and process customer payments.
- To keep the service secure, prevent spam and abuse, and fix problems.
- To answer your questions and demo requests.
We do not sell personal information, and we do not use customers' messages for advertising.
AI-written replies
When a customer contacts a business that uses NXT AI, the conversation is sent to our AI provider, Anthropic, to write a reply. The business can see every message and can take over the conversation at any time. Replies are written by AI and may occasionally be wrong. Anything important, such as prices or appointment times, is confirmed by the business.
Businesses control their customers' information
When NXT AI handles information about a business's customers, it does so on behalf of that business. The business decides how it is used to serve its customers. If you are a customer and want to access or delete your information, you can contact the business directly or email us and we will help.
Providers we use
We share information only with the providers that run parts of the service, and only what each one needs:

Some of these providers process information outside Canada, mainly in the United States. There, it may be accessible to courts and authorities under local law. We choose providers that protect information with security standards comparable to ours.
Text messages
Businesses use NXT AI to text people who contacted them first, for example after a missed call or a website inquiry. Anyone can reply STOP to stop texts from that business number, and NXT AI respects it right away. Standard message and data rates may apply.
How long we keep it
We keep information while a business's account is active so the business can see its history. When a business closes its account, or when you ask us to delete your information, we delete it from the live system within 30 days. Backup copies are replaced on a rolling schedule and are gone within about a month after that. We may keep billing records longer where the law requires it.
How we protect it
All connections use HTTPS. Passwords and sign-in sessions are stored in hashed form. Each business can see only its own data. The server is protected by a firewall, and the database is backed up daily. No system is perfectly secure, but if a breach ever puts you at real risk of significant harm, we will tell you and report it as PIPEDA requires.
Your choices and rights
- Ask what personal information we hold about you and get a copy.
- Ask us to correct information that is wrong.
- Withdraw your consent, for example by replying STOP to texts or closing your account.
- Ask us to delete your information.
Email support@nxtai.ca. We answer within 30 days. If you are not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Children
NXT AI is a business tool and is not meant for children. We do not knowingly collect information from children under 13.
Changes to this policy
If we change this policy, we will update the date at the top. If a change is significant, we will tell business clients by email or in the app before it takes effect.
